Map Maintenance Assets to Fixed Assets


You can map Maintenance Assets to Fixed Assets to manage them just like Fixed Assets. You can even map several Maintenance Assets to one Fixed Asset. This is useful to ensure that all costs registered on a Maintenance Asset are related to the Fixed Asset. 


 

Transfer assets between locations

Create Asset Transfer Orders to support the transferring of Assets between Asset Locations. This is useful when transferring Assets permanently or for temporary relocation (i.e., to a repair shop). You can track when Assets are shipped, in-transit, and received.  

Include Checklists on Asset Transfer Orders to be completed before shipment and at receipt.

Using Asset Transfer Orders, you can also insert Checklists to be completed before shipment and at receipt. Manage Asset information and create Asset Transfers at your fingertips using the Asset Management Power App for mobile devices.

 

Track warranties and manage claims

Create and view Asset Warranties for your assets and attach documents to them. You can also get notified about when a warranty is about to expire on an asset. Based on Asset Warranties, you can create Claims, create actions to be taken, and track the process of Claims.

 

Track defects registered on assets

View Defects registered on your assets and view details about solved Defects such as how they were solved and by who. Defects can be for instance visual or mechanical and can in some cases prevent future failure of an asset.

Mount Asset Counters on assets to track information such as running hours, or distance usage. Set up your own Counter Categories to fit the exact information you need to collect on your assets and view the expected lifecycle end of assets.  View graphical presentations of your Counters such as charts and trends.


Counter readings are automatically collected through our API, and if you use the Manufacturing module in Business Central, the counter readings can be registered following the posting of a production order.

Overview and manage your assets’ activities on the Asset Activity Board and see what is planned for days, weeks and months ahead. View activities such as: Work Orders, Downtimes, Asset Transfers, Maintenance Log, and Production Orders.  

Define limited workspaces for users to operate in

Define workspaces for your users with the Asset Responsibility Center feature. Assign Asset Responsibility Centers to users such as Resources and Vendors to see in which workspaces they are operating. Users set up as Resources or Vendors will only see Assets and Work Orders that belong to their assigned Asset Responsibility Centers. 


Asset Responsibility Centers can consist of multiple Asset Locations, and users can be assigned to several Asset Responsibility Centers.

You can use Ledger Entries to get an overview of posted Work Order consumption registrations (Items, Resources, Expenses) in Ledger Entries.

Issue work orders based on incidents or requests

Create and assign corrective Work Orders to structure the execution of maintenance tasks and capture costs of working hours, spare parts, and related expenses. A Work Order can hold all information and documents required to complete the Work Order successfully:

Create Work Order Plans to automatically trigger pre-defined Work Orders using different frequency types.



Calendar frequency: 

Using this frequency will trigger a Work Order based on any time interval. 

Counter/Meter frequency: 

Using this frequency triggers a Work Order based on an Asset’s Counter/Meter readings reaching a threshold, such as running hours or milage of an Asset. You can add multiple Counters/Meters on the same Work Order Plan. Counter readings can be registered manually or automatically.

Event frequency: 

Trigger Work Orders based on asset events. You can set up an event frequency schedule to trigger Work Orders whenever an asset’s location, status, or condition has been changed. You can then limit the values the event should react to. For instance, if you have chosen to trigger a Work Order based on an asset changing location, you can limit it to trigger the Work Order only when the asset reaches its new location.

Measurements frequency: 

Measurements is a frequency type that can be used on your Work Order Plans to automatically trigger condition-based Work Orders based on specified parameters meeting thresholds (e.g., humidity, vibration, temperature) based on data from assets’ measurements.


Measurement readings can come from Measurement Devices that consist of multiple measurements set up as one device in the system. They are designed to automate an inflow of data of measurement readings through our built-in API. This allows gathering of data from industrial IoT devices. 

Follow-up Work Order frequency: 

Using this frequency triggers a Work Order based on the status of another Work Order. If you need to check up on specific maintenance work, you can create a follow-up work order for the future.

Sequence frequency: 

Work Order Sequences are used in situations where you have dependency between Work Order Plans. They allow Work Order Plans to be triggered in a specified sequence. I.e., "First clean, then calibrate the machine". This enables you to avoid double work. 

The sequence of Work Order Plans can be based on Counters and/or Calendar frequencies. 

 

 

Efficiently manage multiple maintenance schedules in batches

Group Work Order Plans to make changes to multiple Plans at the same time and keep them synchronized. Grouping Work Order Plans is ideal when you have multiple Assets that need the same type of maintenance but may be at different locations or operated by different technicians.

 

Plan one maintenance schedule for multiple assets

You can create a maintenance job for multiple assets using Round Plans. They work similarly to Work Order Plans and are ideal to use when you have multiple assets in the same location that all require the same work, for instance a daily cleaning inspection. 

 

Plan and register asset downtime

Register planned and unplanned downtime on your assets to plan shutdown of a machine or work center that require inspection or maintenance. Register Downtime from an Asset or a Work Order Plan. 

 

 

Specify and include detailed checklists on work orders

Create and add Checklists with detailed instructions to your Assets, Work Orders, Work Order Plans, Work Order Permits, and Asset Transfer Orders to ensure that work can be executed in a compliant and correct manner. 

 

Plan asset replacements

Use Work Orders or Work Order Plans to create an Asset Replacement Order to support the process of replacing an old Asset with a new Asset.

 

Issue work based on maintenance requests

Manage and keep an overview of all requests for maintenance. You can communicate directly on the Maintenance Request with the requestor and subsequently create a Work Order based on the Maintenance Request. 
All employees can submit Maintenance Requests to the maintenance team for review without a Dynaway license. 

 

 

Consider resources’ activities beyond maintenance when planning

Create Tasks and keep an overview of all tasks that your technicians need to do besides maintenance work. You can plan tasks such as first aid training for technicians or checking sprinklers in an office (not related to your assets) using measurements or counters. You can then plan your maintenance-related work around those tasks.
Tasks work like Work Orders but are dedicated to Resources only.   

 

Plan work with contractors

The vendor integration allows you to set up Contractors as Vendors. In the event when maintenance tasks require specific skills that you do not have in-house, you may need to hire a specialized contractor to perform the work for you. You can create expense registration lines on Work Orders for Contractors' work hours.


You can also print and send Work Orders directly to Contractors.  

 

Create budgets to analyze and overview future maintenance costs

This feature enables closer alignment between finance teams and maintenance teams to work together to meet budgets.

Maintenance budgets provide a financial overview of planned maintenance costs for the coming year or any other given period. It is also possible to do scenario planning by having multiple maintenance budgets - where each budget targets a scenario.

You can add existing work orders to a package, which is a list of work orders that all share similar characteristics, for example the same Category Code or require the cooperation of different teams. You can customize your work order packages to fit your needs. 
Calculate multiple work order plans simultaneously
Efficiently calculate multiple work order plans or round plans at the same time and create work/round orders from the plans. This saves you time when wanting to create multiple work order plans or round plans instead of calculating them one by one. You can view and create work order plans for both parent assets and asset children. 
Customize your own statuses for work orders
Create and customize your own Advanced Statuses to be able to change statuses on Orders and Tasks and track progress of work execution of Orders and Tasks. 
Ensure spare part availability in your Inventory when scheduling work orders
Calculate demand forecasts of spare parts based on your Work Orders and convert them directly into Purchase Orders using the Requisition Worksheet. 
Use Projects together with Work Orders
Projects can be used together with Work Order Plans and Work Orders for larger projects to plan and track the costs of Resources, Items, and Expenses used in relation to the Project. You can work with Projects within your organization or externally.  It is also possible to assign Work Orders and Lines automatically to Projects based on the setup of Project, Project Task, and Project Line Type.
Assign default warehouse locations to technicians
You can specify which warehouses technicians can pick spare parts from by assigning them certain warehouses. Technicians can then view exactly where spare parts should be picked from. On one-off work orders, the assigned warehouse is filled in automatically as the location code on an item line. 
Trigger workflows and notifications based on maintenance events
Using External Business Events, you can trigger workflows in the system and set up users to receive external notifications outside of Dynaway EAM for instance via email.
You can set up the relevant people in your maintenance team to get notified outside of Dynaway EAM about events such as a resource getting assigned to an Order or someone making changes to Work Order Plans. 
Use Financial Dimensions together with Maintenance Budgets
EAM-BC integrates with company-specific Financial Dimensions in Business Central and provides maintenance-specific dimensions to be used throughout the Maintenance Budget module.
Carry out production orders without unplanned downtime
Ensure high uptimes so that the planned production can be carried out without disturbance. When using the integration with Manufacturing, you can plan your maintenance and production orders more efficiently by scheduling planned downtimes and better meet production targets. Allocate resources based on their skills

Using Skill-based Planning, you can assign Maintenance Skills to your Resources and more easily allocate the best fitted Resources to a specific Work Order Plan. Access pictures and documents related to specific assets when executing work. Take and upload photos while executing work.
Clock-in and clock-out when executing work
Easily track the exact amount of time spent on executing a work order and post it as consumption on a work order. Simply start the timer, pause if needed, and stop the timer and post the time registration as consumption.

When executing work orders, you can add comments directly on the work order. In the situation where multiple workers are scheduled to the same work order, they can create comments to communicate important information.

Add hour registrations from work orders automatically to resource's timesheets
Automatically post the time consumption when executing Work Orders and Round Orders directly to the Time Sheets. This saves you time when filling out and submitting your Time Sheets.
Create assembly orders by connecting assets to resources
You can connect assets to resources. For instance, a resource set up as a machine can be connected to an asset. You can then use that resource on assembly orders. It's also possible to see counter readings for a resource and how many units have been created for a resource.
You can also use maintenance items as assembly items and assemble them as a bundle. When consuming an assembly item, all maintenance items within that assembly item are consumed right away.
Invoice customers or legal entities in your company
Maintenance Invoicing supports company-internal invoicing between legal entities when maintenance is requested from one legal entity and maintenance is performed by another maintenance team from another legal entity. It also allows you to bulk-invoice customers for service visits or maintenance work.
You can create or auto-generate Sales Orders based on Work Orders. You can choose to use defined sales prices or a markup on your services  and the costs of spare parts.

Create and manage Work Permits

A Work Permit contains a list of conditions to be met or tasks to be done to ensure a safe execution of maintenance. A Work Permit is attached to a Work Order.  

The resource scheduled to execute the Work Order fills out the Work Permit and submits it for approval. Once approved, the resource may start the work on the Work Order.

 

Register safety incidents and report to insurance companies

With Safety Incidents, you can register and report any employee incidents and track the progress of incidents reported to your health insurance company. Registering an incident can be done by employees, and the progress of incidents can be tracked and closed when finished. You can add documents, photos, and information about an incident.
